01 · Booking & cancellation
Reserve it, then let us know early if plans change.
- Reservations may require a security deposit, rental payment, or both. Same-day rentals must be paid in full.
- To cancel or change a reservation, call 541-527-6123 or email office@hderent.com as soon as possible.
- A cancellation made within 24 hours of the scheduled rental may incur a $50 cancellation fee.
- If a refund is due, HDER returns it to the original payment method. Your bank or card issuer controls how quickly the credit appears.
- Sundays are closed for pickup and return and do not add billable rental time when they fall inside a multi-day rental.
02 · Return times & extensions
The scheduled return time matters.
- Rental time begins at pickup or delivery and ends when the equipment is returned to and accepted by HDER.
- Return the equipment on the date and at the time shown on your reservation. No automatic grace period is promised.
- Need more time? Request an extension before the scheduled return. An extension is not approved until HDER confirms availability and the applicable rate.
- Unapproved additional time may be billed at the applicable rental rate. Recovery, towing, storage, or other charges apply only when permitted by the Rental Service Agreement.
03 · Fuel
Full out. Full back.
Gasoline-, diesel-, and propane-powered equipment is provided with a full tank and must be returned full. If HDER adds fuel after return, the agreement authorizes a charge of $7.00 per gallon.
04 · Cleaning
Normal jobsite use is expected. Excess mess is not.
Return equipment reasonably clean and free of excess dirt, mud, concrete, oil, fuel residue, adhesives, paint, or other foreign material. Cleaning needed beyond ordinary use is billed at $50 per hour for the labor required to restore the equipment to rentable condition.
05 · Damage, loss & security deposits
Tell us immediately when something goes wrong.
- Stop using the equipment and contact HDER if you see a warning, malfunction, abnormal operation, accident, theft, or unsafe condition.
- Do not modify or repair rental equipment without HDER's prior written approval.
- The renter is responsible for loss or damage from checkout until the equipment is returned and accepted, except for a pre-existing defect documented at checkout and ordinary wear from proper use.
- Responsibility may include diagnostics, labor, parts, transport, towing, replacement, missing items, and lost rental availability as described in the agreement.
- A security-deposit hold does not cap the renter's responsibility. HDER may release the hold, capture an amount permitted by the agreement, or seek payment for an amount that exceeds the hold.
06 · Identification & authorized operators
The right person and the right qualifications.
- A valid government-issued photo ID is required before equipment is released. A valid driver's license is required when the rental involves driving or towing.
- Only trained, qualified, and legally permitted operators may use the equipment.
- The customer who signs the agreement remains responsible for every authorized operator and may not sub-rent, loan, or transfer the equipment to another person.
07 · Towing & customer transport
Safe towing starts before leaving the yard.
- The customer must provide a tow vehicle, hitch, ball or pintle, electrical connection, and brake controller—when required—that are properly rated for the trailer and intended load.
- The customer is responsible for lawful loading, securement, weight limits, and safe operation during transport.
- HDER may decline to release a trailer or load if the vehicle, connection, ratings, or condition appear unsafe or unsuitable.
- Transportation damage and towing, recovery, impound, or storage costs caused during the customer's rental responsibility are chargeable as allowed by the agreement.
08 · Delivery, pickup & site access
Give the delivery team a safe way in and out.
- Delivery is available only for products and service areas confirmed by HDER. Any delivery or pickup price will be shown on the reservation or confirmed in a custom quote.
- The customer must provide a safe, level, unobstructed, and accessible location for delivery and pickup.
- The customer must identify underground utilities, septic systems, irrigation, soft ground, overhead obstructions, and other site hazards before arrival.
- HDER is not responsible for surface or ground damage caused by equipment weight or placement. A failed delivery or pickup caused by unsafe access, site conditions, or customer error may result in additional charges.
